NOTICE TO CLUBS JULY 2010

UMPIRES & COACHING PANEL MEMBERS:
The Board is calling for Expressions of Interest from people who would be willing to be on the Coaching Panel or Umpires Panel. Current Panel members need to advise the Board of their availability, or not, for the coming season.
Expressions of Interest, stating which panel you are interested in, are to be received by the Board Secretary, PO Box 228, Wanganui 4540, or by e-mail to saunders-loder@actrix.co.nz by the 1st August 2010.

COACHING & COACHING OF COACHES:
With the new season fast approaching all Clubs and Associations are reminded to contact the Coaching Panel for their requests for coaching or the coaching of coaches, or to advise the Coaching Panel of coaching that they have arranged. This enables a clear record of coaching to be kept for reporting to SPARC and to assist in a uniformed coaching programme.

GROWTH PANEL:
One of our main aims as the National Sports Body is to grow the sport of Polocrosse in New Zealand. The last two years has seen major growth in the Northern regions but sadly a decline in the Southern ones. Some older players are coming back in to the sport bringing younger ones with them. We need to encourage new players and make an effort not to let our current Clubs stagnate. Some Clubs have the same players year after year. The Board would like to work with Clubs to encourage growth in all areas. The Board would like to formulate a “Growth Panel” with a member from each Club belonging to it – this could be your Publicity Officer or any other person within your club who is enthusiastic about growing the sport.

2011 WORLD CUP UPDATE:
The World Cup management team continues to make progress in the development of players for selection for the World Cup team. A men’s squad team travelled to Barastoc in April and a ladies squad team will travel to Warrick in August.
All players that showed expressions of interest for the World Cup prior to the cut-off date, and who are not in the Squad, need to remember to prepare themselves if they are still interested in making the World Cup team as a team will be selected from this group of players to challenge for a place in the World Cup team in December and January.
Nobody is a definite yet! Final selection for the World Cup team will be done after looking again at all available players – so those not in the squad need to be working towards selection in January as hard as the squad players – if not harder!

WORLD CUP FUNDRAISING:
The Board would like to thank all Clubs for their help with fundraising efforts to date and the support given to the World Cup Fundraising Committee with the Sponsors Carnival.
The Board sanctions all fundraising endeavors by the World Cup Fundraising Committee and thanks the Clubs that have come forward with fundraisers to raise monies for this committee. The Board hopes that all Clubs will try to raise the $1,000.00 requested for by the Fundraising Committee through their local fundraising efforts.

REMINDERS…

ANNUAL GENERAL MEETING:
The Board has set the date and venue for the 2010 Annual General Meeting.
DATE: Saturday 25th September 2010
VENUE: RSA Rooms, TAUMARUNUI

This year will see Alastair Cumming and Kerrian Duff due to stand down from the Board; however both of these Board members are available for re-election. There will also be a third position on the Board to be filled due to the resignation of Robin Cave.
Time Frame for AGM Nominations, Remits, Papers etc…
Due to the adoption of the 2010 Constitution at the SGM held in March 2010, some of the rules adopted do not coincide with the Current By-Laws regarding time frames for the calling of the AGM, nominations, remits and papers to be distributed. This problem will be rectified once the new By-Laws are adopted.
The Board will abide by the time frames as stated in the Constitution, which will override the current By-Laws time frames –
Rule 15.2 The Board must give at least forty (40) days notice in writing to members of
General Meetings. The notice can be given by such methods as the Board may determine.
Rule 16.3 b Nominations for Elected Board Members may be made by the Associations and the Board and shall be in the approved form and received by the Secretary of New Zealand Polocrosse not less than thirty (30) days before the date set for the AGM.
Therefore – Notice of the AGM must be given by the 16th August 2010
(Already done in the last Notices to Clubs)
Nominations for Elected Board members and remits must be received by the Board Secretary no later than 26th August 2010.
Copies of the meeting papers, annual Board Report and audited Annual Financial Statements will be sent to Association Secretaries 21 days prior to the AGM – being the 4th September 2010, - not the 10 days as in the current By-Laws.
Conference – as usual a conference will be held at the conclusion of the AGM. Please forward any items for discussion at the conference to the Board Secretary by the 26th August 2010.


CLUB AGM’s and CONTACT DETAILS:
As Club’s and Association’s are starting to hold their AGM’s please remember to forward new contact details and office holders to the Board Secretary as soon as possible. Forms are available on the website under “Stationery”.


CARNIVAL DATE REQUESTS AND EXPRESSIONS TO HOST NATIONAL FIXTURES:
The Board would like to call for expressions of interest from Clubs or Associations wishing to host National Fixtures in the 2010 / 2011 playing season.
Clubs are also asked to forward their preferred dates for carnivals for the 2010 / 2011 playing season.
Expressions of interest for the above must be received by the Board Secretary, PO Box 228, Wanganui 4540, or by e-mail to saunders-loder@actrix.co.nz by the 1st August 2010.

EXPRESSIONS OF INTERSTS FOR MASTERS TEAM TO AUSTRALIA:
The New Zealand Polocrosse Board has arranged for a New Zealand Masters Polocrosse team to take part in the Pan Pacific Games being held in Queensland, Australia. The team to travel will be an Open 50+ team. The Pan Pacific Masters Games are on between the 6th and 14th November 2010 with Polocrosse competitions being held on the weekend of the 6th and 7th November 2010, with the venue being at Carrara.
Some financial assistance with this tour will come from a donation by the Te Maire Polocrosse Club – for which the Board is most grateful.

Expressions of interest are to be sent to the Board Secretary by the 1st August 2010.

REPORTS FROM TOURS:
A reminder to all Coaches, Manages and Team Captains that reports from tours are required to be sent to the Board as soon as possible after the completion of your tour. These reports remain confidential to the Board and are only forwarded to the Coaching Panel with your permission.

PLAYERS OVERSEAS:
A reminder that all players wishing to travel overseas must complete the “proceeding Overseas Document” under the Stationery tab on the website. Players going to the UK must complete the appropriate form also on the website under Stationery – “UK Testimonial”.
These forms need to be returned to the New Zealand Polocrosse Secretary for completion by Coaching and Umpiring representatives and the New Zealand Polocrosse President.

New Zealand Polocrosse Caps are available from Alastair Cumming whilst lovely polo shirts are available from Ruth Tye as a fundraiser for the 2011 World Cup @ $45.00 each.
